About the apprenticeship

Duties

 Provide general administrative support to the office team.
 Maintain accurate records and filing systems, both electronic and paper-based.
 Assist with the preparation of documents, reports and correspondence.
 Input and update information on company spreadsheets and databases.
 Process incoming and outgoing post and emails.
 Enter and maintain data accurately using Microsoft Office applications.
 Update and manage company spreadsheets.
 Use cloud-based business software and internal management systems.
 Assist with maintaining customer, supplier and project records.
 Process purchase orders and supplier documentation.
 Assist with entering supplier invoices and financial information into Xero accounting
software.
 Support the reconciliation and organisation of financial records.
 Ensure documentation is accurately recorded and stored.
 Answer incoming telephone calls professionally and direct enquiries to the appropriate team
member.
 Take accurate messages and relay information promptly.
 Assist with customer and supplier communications via telephone and email.
 Assist with organising meetings and appointments.
 Prepare refreshments for staff and visitors when required.
 Help maintain a clean, tidy and professional office environment.
 Keep the kitchen and communal areas clean, organised and well-stocked.

Essential Skills and Qualities
 Good communication skills, both written and verbal.
 Friendly, professional and courteous manner.
 Good attention to detail and accuracy.
 Willingness to learn new skills and systems.
 Good organisational skills.
 Reliable and punctual.
 Ability to work as part of a team.

Desirable Skills
 Basic knowledge of Microsoft Office (Word, Excel, Outlook).
 Previous experience of customer service or office administration (not essential).
 Interest in business administration and the construction industry.

Qualifications

Essential
 GCSEs (or equivalent) in English and Mathematics at Grade 4/C or above, or willingness to
work towards achieving these qualifications as part of the Apprenticeship.
